prepared forA Sharjah wedding, 280 guests
You send me the guest list. I send each guest a personal invitation on WhatsApp, chase the replies, send every confirmed guest their own QR code, and run the scanning at the door on the day. You watch the numbers move on one screen.
Sample invitation. Names, date and venue on the real one come from you. Tap the reply buttons to follow one guest from invitation to entry code.
The scanning app on a phone at the entrance. One scan checks in the whole party and updates the count the family sees.
Sample data to show how it behaves. A code scanned twice is flagged in gold, not admitted twice.
Four pieces, one service. The guest only ever sees the chat.
Each guest gets their own message with their name, their party size, the card, the date and the map.
Who confirmed, who declined, who has not replied. Reminders go to the silent ones on a schedule, and I answer their questions.
Unique, tied to the name and party size, sent the moment they confirm and again the day before.
Phone camera, no hardware to rent. Name lookup for anyone who lost their code. A live count for the family.
Below is the whole service: what is included in the price, the optional entrance staff, the sequence from your guest list to the last scan on the night, and the parts I am deliberately not promising.
The whole RSVP and QR entry service for up to 300 guests, WhatsApp message charges included. 100% in advance. Invitations start going out within 5 business days of payment, the guest list and the card artwork. I am on WhatsApp with you from that day until the night is over.
Six pieces, one price. Nothing here is billed separately.
Your 280 names and numbers cleaned and checked: duplicates removed, number formats fixed, party size and family side against each guest. Any number that is not on WhatsApp is flagged back to you before anything is sent.
Each guest receives their own message: their name, their party size, your invitation card as the image, date, time, venue and map link, with reply buttons to confirm. Sent from a verified WhatsApp Business number in the couple's names.
Every reply lands on a live sheet you can open any time: confirmed, declined, no answer yet. Two reminders and a final call go to the guests who stay silent. Questions from guests come to me and get a human answer the same day.
Generated the moment a guest confirms and sent in the same chat. Each code carries the name and party size, works once, and is resent to everyone the day before so nobody is scrolling for it at the door.
A scanning app that runs on any phone, so there is no hardware to rent. It admits the party, flags a code shown twice, and finds a guest by name if they lost their message. I set it up on the phones on the day and stay reachable throughout.
During the night the family sees confirmed, arrived and still to come on one screen. The morning after, you get the full attendance list: who came, when, and how many.
Optional. The scanning app is part of the package either way, and your own ushers can run it after a 15-minute briefing from me. If you would rather I bring the people, pick one of the three below. Each staff member is 1,200 AED for the evening, and the price is simply that number times how many you need.
For a single entrance with a steady flow of arrivals. One trained person scans and checks in every party. I stay on WhatsApp for anything unusual.
Two people scanning side by side clear 280 guests through the peak hour without a queue at the door. If the hall has separate men's and ladies' entrances, this puts one person on each.
Two scanning and a third person who handles everything that is not a clean scan: a guest without a code, a name to look up, a plus-one not on the list, a VIP to walk in. The family gets a live count from the lead all night.
In this order, because each step needs the one above it. Step one depends on you and is the only thing that can move the dates. Step two's clock belongs to Meta.
A spreadsheet with name, number, party size and which family. The invitation card as an image. The date, time, venue and the RSVP deadline you want. I clean the list and send you the numbers that are not on WhatsApp before anything goes out.
Needs from you: list, card, date. Ideally 3 weeks or more before the weddingPersonal invitations at this volume go out as an approved WhatsApp template, which is what keeps them arriving reliably instead of being blocked. Meta usually approves within a day or two, sometimes longer. This is the one clock I do not control.
Meta's clock: usually 1 to 2 daysAll 280 guests get their message the same day, in waves. From that moment the RSVP sheet is yours to open whenever you like. Replies start within minutes.
Day 1 of sendingGuests who have not replied get a reminder on day 4 and day 8, and a final call at your RSVP deadline. Every question a guest sends comes to me and gets a human reply. Guests who decline are thanked, not chased.
Days 4, 8 and the deadlineEach confirmed guest gets their code the moment they confirm. The day before the wedding, everyone confirmed gets it again with the time and the map, so it is the last message in their chat when they arrive.
On confirmation, and again the day beforeThe scanning app is on the phones at the entrance, either your ushers' or my staff's. Every scan updates the live count. I am reachable on WhatsApp from an hour before doors until the last guest is in.
Staff option, if chosen, confirmed 7 days beforeYou receive the attendance list: who came, at what time, how many in each party, and who confirmed but did not arrive. Thirty days later I delete the guest list from my systems unless you ask me to keep it.
Within 24 hoursIf this reads right, message me the wedding date and I will tell you the same day whether the timeline works and send you the guest list template.
